Why This Role Matters
This role is critical to supporting the executive team and ensuring smooth operations within Luxury Presence as we scale from $85M to $300M+ in the next four years. The Office Manager / Executive Assistant serves as a trusted partner to the CRO, exercising sound judgment to manage executive priorities, optimize workflows, and drive operational effectiveness across the organization. This role combines high-level executive support with ownership of key office operations, planning initiatives, vendor relationships, and business processes that enable leadership to focus on strategic growth initiatives during a period of rapid expansion.
Here's What We're Looking For
Proven experience as an Executive Assistant, Office Manager, Chief of Staff, or similar role in a fast-paced environment
Exceptional organizational, prioritization, and project management skills
Strong communication and interpersonal abilities
High level of discretion and confidentiality
Demonstrated ability to exercise independent judgment and make decisions in support of executive priorities
Analytical mindset with experience evaluating operational processes and identifying opportunities for improvement
Proactive problem solver with a strong sense of ownership and accountability
Skills and Experience
Expertise in complex calendar management, executive support, and travel coordination
Experience supporting C-level executives in high-growth organizations
Proficiency with office productivity tools (Microsoft Office, Google Workspace, Slack, etc.)
Strong written and verbal communication skills
Ability to manage multiple priorities and deadlines with minimal oversight
Experience with budgeting, expense management, and operational reporting
Experience managing external vendors, contracts, and service providers
Strong analytical skills with the ability to interpret operational and financial data to support decision-making
What You'll Do
Manage the CRO's calendar, appointments, travel arrangements, and strategic priorities, exercising independent judgment in determining the most effective allocation of executive time and attention
Coordinate meetings, prepare agendas, track action items, and ensure timely follow-through on key initiatives
Serve as a liaison between executive leadership and internal/external stakeholders, facilitating clear communication and alignment
Own day-to-day office operations and continuously evaluate processes, systems, and workflows to improve efficiency, scalability, and employee experience within the Austin office
Analyze operational and budget-related data to identify trends, risks, and opportunities for improved organizational effectiveness
Support annual planning and budgeting processes through data collection, analysis, reporting, and preparation of executive-level materials
Manage relationships with external vendors and service providers, including evaluating proposals, negotiating terms, and recommending vendor selection decisions
Assist with expense management, budget tracking, and operational reporting
Lead or support special projects, cross-functional initiatives, and company events as needed
Maintain confidentiality of sensitive business and personnel information
Recommend and implement administrative and operational improvements that enhance organizational effectiveness as the company scales
